Privacy policy

1. Who we are

HTMG Limited, trading as Last Minute Media, PO Box 121482, Henderson, Auckland 0610, New Zealand. We are the agency responsible for your personal information under the Privacy Act 2020. Privacy questions: hello@lastminutemedia.co.nz.

2. What we collect, and why

Only what a booking actually requires:

• When you hold a board — your name, email, and optionally phone and company, plus the weeks you chose and any message. Used to hold the space and email you the booking pack.
• When you complete a booking — business name, billing address and NZBN if you give it, for the invoice and the booking itself.
• Your artwork and brief— stored so we can check it against the screen's specification and pass it to the screen owner to run.
• Payment details — handled entirely by Stripe. We receive a payment reference and the outcome. We never receive or store your full card number, expiry or CVC.
• If you join the deals list or ask to be notified — your email address, and which screen you asked about.
• Your IP address — recorded against holds, and counted for uploads and signups, solely to stop automated abuse. A hold takes real inventory off the market for 24 hours, so we rate-limit it.

Providing this information is voluntary, but without it we cannot hold a board, place a booking or invoice you.

3. Who else is involved

We use these service providers to run the site. Each only receives what it needs:

• The screen owner — the screen, weeks and your artwork, so your campaign can be scheduled. Your billing details are not shared.
• Stripe — payment processing. Stripe is the recipient of your card details, not us.
• Resend — sends our transactional email (booking pack, confirmations).
• Vercel and Neon — hosting, file storage and database. Our database is hosted in Sydney, Australia, so your information is stored offshore.

We do not sell your personal information, and we do not share it for anyone else's marketing. We may disclose information where the law requires it.

4. Marketing email

If you join the deals list we email you available inventory. Every one of those emails has an unsubscribe link and we act on it. Transactional email about a booking you have made is not marketing and will still be sent.

5. How long we keep it

Booking records, including invoices, are kept for at least seven years as required by New Zealand tax law. Lapsed holds and unconverted enquiries are kept while they remain commercially useful and then deleted. Artwork is kept for the campaign and a reasonable period after, so we can reproduce proof of what ran.

6. Your rights

Under the Privacy Act 2020 you can ask us for a copy of the personal information we hold about you, and ask us to correct it. Email hello@lastminutemedia.co.nz and we will respond within 20 working days. You can also ask us to delete information we no longer need to keep, though we cannot delete records we are legally required to retain.

If you are unhappy with how we have handled your information you can complain to the Office of the Privacy Commissioner.

7. Cookies and analytics

We use browser local storage to remember your display preferences — light or dark theme, per-week or per-day pricing, whether the map is showing. That stays on your device and we cannot read it remotely. We do not run third-party advertising or tracking cookies.

8. Security

The site is served over HTTPS, payment details never reach our servers, and the admin area is password-protected. No system is perfectly secure, but we take reasonable steps to protect your information and will tell you and the Privacy Commissioner if a privacy breach occurs that is likely to cause serious harm.
